How Scheduling Works

Request

Submit a pickup or delivery request through our contact form, email, or phone. Include the number of totes, your location, and any special requirements such as forklift access, dock height restrictions, or preferred time windows. The more detail you provide, the more accurately we can schedule.

Confirmation

Our logistics coordinator confirms the date, time window (morning or afternoon), route, and any special requirements within one business day. You will receive a confirmation email with your scheduled window, the driver name, truck number, and a direct phone number for day-of-delivery communication.

Preparation

Prepare your totes for transport. Drain all contents completely, close and secure all valves, and stage the totes in an accessible area for our truck. Clear a path for forklift or pallet jack access. If you are receiving totes, clear the delivery area and have someone available to sign the receipt and inspect the delivery.

Pickup / Drop-off

Our driver arrives within the confirmed time window, loads or unloads your totes following our safe handling protocols, and provides a signed receipt with tote count, condition notes, and delivery confirmation. For pickups, we provide a preliminary assessment of tote condition on-site.

Scheduled Routes

We run regular delivery routes throughout our service area on set days of the week. Buffalo and Erie County routes run Tuesday and Thursday. Rochester routes run Wednesday. Niagara County and Lockport routes run Monday and Friday. Scheduling your pickup or delivery on an existing route day often reduces or eliminates delivery charges.

On-Demand Service

Need a delivery outside our regular route schedule? We offer on-demand pickup and delivery with as little as 24 hours notice for locations within Zone 1 and Zone 2. On-demand service carries a small surcharge but gives you the flexibility to get totes when you need them without waiting for the next scheduled route day.

Recurring Contracts

For businesses with predictable tote needs, recurring contracts lock in your delivery day, time, and quantity at preferred pricing. Weekly, biweekly, and monthly schedules are available. Contract customers receive priority slot reservation so your deliveries are never bumped by one-time orders during peak demand periods.

Our Fleet& Equipment

Flatbed Trucks

Our primary delivery vehicles are commercial flatbed trucks with hydraulic lift gates, ideal for loading and unloading IBC totes at facilities without dock access. Each flatbed can transport up to 24 IBC totes per load when stacked two high (12 on the deck, 12 stacked). For single-layer loads, capacity is 12 totes per trip.

Flatbeds are equipped with stake pockets, ratchet straps rated to 5,000 pounds, and load bars for securing totes during transit. Non-slip deck mats prevent pallet shifting. Hydraulic lift gates have a 4,000-pound capacity, sufficient for a full pallet of stacked totes.

Box Trucks

For smaller orders and weather-sensitive deliveries, we use enclosed box trucks with rear roll-up doors and hydraulic lift gates. Box trucks protect clean totes from road debris, rain, and contamination during transit. Capacity is 8 to 10 totes per load depending on stacking configuration.

Box trucks are ideal for food-grade tote deliveries where maintaining cleanliness during transport is critical. The enclosed environment also provides added security for high-value orders.

Loading Equipment

Every truck carries a heavy-duty pallet jack for ground-level loading and unloading. For customers with dock access, we can load directly from the dock using the truck liftgate as a bridge. For facilities with forklifts, driver-assisted forklift loading is the fastest method — our drivers are trained to coordinate with your forklift operators for safe, efficient loading.

We also carry moving blankets, cargo nets, and corner protectors for situations where extra protection is needed. If your facility has specific loading requirements or restrictions, let us know when scheduling so we can bring the right equipment.

GPS Tracking & Communication

All vehicles in our fleet are equipped with real-time GPS tracking. When your delivery is en route, our dispatch team can provide updated ETAs based on the truck location and traffic conditions. For time-sensitive deliveries, we can arrange for the driver to call you directly when they are 30 minutes out.

Our dispatch system also logs delivery times, route efficiency data, and customer feedback. This data helps us continuously optimize our route schedules and improve on-time delivery performance.

Stacking & Transport Configuration

Single-Layer Configuration

Totes are placed on the truck deck in a single layer, side by side, with the pallet base resting directly on the deck surface. This configuration is used for filled or partially filled totes (water weight), fragile totes, or when the customer requests no stacking. Capacity: 12 totes per flatbed, 8-10 per box truck.

Double-Stack Configuration

Empty totes are stacked two high, with the upper tote pallet resting in the cage frame of the lower tote. IBC totes are designed for this — the cage supports the weight and the pallet interlocks with the cage top. This configuration doubles capacity: 24 totes per flatbed. Only used for empty, clean totes with structurally sound cages.

Insurance & Liability

Cargo Insurance

All totes in transit are covered by our commercial cargo insurance policy. This protects against loss or damage from accidents, theft, fire, and other covered perils while the totes are on our truck. Our standard coverage provides full replacement value for reconditioned totes and fair market value for used totes. For high-value shipments, additional coverage can be arranged upon request.

General Liability

We carry comprehensive general liability insurance that covers property damage and bodily injury during loading and unloading operations at your facility. Our drivers are trained to identify and avoid hazards, but accidents happen — our coverage ensures that you are protected. Certificates of insurance are available upon request for customers who need them for their own risk management files.

Customer Responsibilities

Once totes are delivered and the receipt is signed, responsibility for the totes transfers to the customer. We recommend inspecting all totes upon delivery and noting any concerns on the delivery receipt before signing. For pickups, you are responsible for ensuring totes are fully drained, valves are closed, and totes are staged in a safe, accessible location. Our liability ends once totes leave our possession during delivery and begins once we take possession during pickup.

Frequently Asked Questions

What is the minimum order for pickup or delivery?

We require a minimum of 4 IBC totes per scheduled pickup or delivery run to keep logistics costs reasonable. For orders below this threshold, we recommend our will-call option where you can pick up or drop off totes at our Niagara Falls facility during regular business hours (Monday through Friday, 7 AM to 5 PM). There is no minimum for will-call transactions.

How far in advance do I need to schedule?

For standard route deliveries, we ask for at least 3 business days notice to ensure space on the appropriate route truck. On-demand deliveries within Zone 1 and Zone 2 can often be arranged with 24 hours notice, subject to truck availability. Recurring contract customers have their slots pre-reserved so no advance scheduling is needed beyond the initial contract setup.

Do you deliver to residential addresses?

Yes, we deliver to residential addresses for customers purchasing totes for rainwater harvesting, garden storage, or other home use. Residential deliveries use our box truck with a hydraulic liftgate, and the driver will place the tote on your driveway, garage pad, or other accessible paved surface. We cannot carry totes across lawns, up stairs, or into buildings. The delivery area must be accessible by truck from the street.

What if the totes I am picking up still have product inside?

Totes must be fully drained before pickup. Our drivers will not load totes with liquid product remaining inside — the weight creates safety hazards during transport and the contents may spill. If your totes have residual product (less than 5 gallons), contact us to discuss options. We may be able to arrange drain-on-site service for an additional fee, or you can drain the totes into drums before our arrival.

Do you handle cross-border shipments to Canada?

Yes, we serve select routes in Ontario including Niagara Falls ON, St. Catharines, Welland, Hamilton, and the Greater Toronto Area. Cross-border shipments require additional documentation (commercial invoice, customs declaration) and may take longer due to border processing. We handle the customs paperwork for standard IBC tote shipments. Contact us at least 5 business days in advance for Canadian deliveries.

What happens if a tote is damaged during delivery?

All totes in transit are covered by our cargo insurance. If damage occurs during loading, transit, or unloading by our driver, we will replace the damaged tote at no cost. Inspect all totes upon delivery and note any damage on the delivery receipt before signing. Claims must be filed within 48 hours of delivery. Photos of the damage are helpful for claims processing.

Can you combine pickup and delivery in the same trip?

Absolutely — this is our most efficient and cost-effective arrangement. We call it a swap run: we deliver your clean totes and pick up your empties in a single stop. Swap runs eliminate one delivery fee entirely, and the round-trip efficiency means less time at your facility. Many of our recurring contract customers operate on a swap basis.

Do you deliver on weekends or after hours?

Our standard delivery hours are Monday through Friday, 7 AM to 5 PM. Saturday deliveries can be arranged for an additional fee with at least one week notice. We do not offer Sunday or holiday deliveries. After-hours weekday deliveries (before 7 AM or after 5 PM) may be available for large orders — contact us to discuss your needs.
